Follow one real order

Take a recent order from the first inquiry through payment and final paperwork. Record who made each decision, where information was stored and what someone had to copy manually. Include a cancellation or return. These examples reveal actual work more clearly than a broad request to automate sales.

Separate customers, deals and payments

A customer may have several projects, and one deal may be paid in instalments. Putting everything in a single row soon makes reporting unreliable. Define the main records and their relationships first. A storage business also needs contracts, units and rental periods; a sports club needs courts, bookings and memberships.

Give every status a purpose

In progress says little on its own. A useful status explains what has happened, who owns the next action and when it is due. Decide whether a stage can be skipped, a deal reopened or an unpaid order closed. These decisions become system rules, not just labels on coloured columns.

Agree on roles and exceptions

Sales staff may need their own customers, finance staff need payments, and managers need an overview. Discuss reassignment, holidays and collaboration between departments. Specify who may change prices, delete records and export data. Review the prototype with the people who will actually use the system every day.

Choose an observable first result

Replace a vague promise to speed up the business with something observable: a contract generated without retyping, unpaid invoices in one list, or an owner assigned to every missed inquiry. DobroSklad brings together contracts, payments, SMS and telephony. Connecting those workflows is what gives a custom CRM its purpose.

What to bring to the first meeting

Prepare anonymised orders, current spreadsheets, document templates and a list of systems to connect. Assign someone who can explain edge cases and approve rules. The first stage should produce a process map, a role list and a clear release scope. These provide a basis for discussing effort, timing and cost.
